Project Description
Timezz was created to give businesses a clear and efficient system for organizing work, tracking time spent on tasks, and automating the creation of documents needed for employee payments. As the sole designer, I was responsible for the end-to-end user experience and interface.
The Challenge
Businesses needed a much better system for managing tasks and accurately tracking employee time. Existing methods were often complicated, manual, and wasted valuable time. Many similar tools on the market suffered from confusing interfaces that made them difficult for users to adopt and use consistently.
This inefficiency and lack of clear tools led to several problems:
It was hard to accurately determine exactly how much time was spent on different tasks or projects.
Creating necessary documentation for payroll or client billing based on time records was a slow, manual process with a high risk of errors.
Business owners and managers lacked a quick, clear overview of project progress, how time was allocated, and the true cost of projects.
Employees often found the methods for logging their time inconvenient and frustrating.
Goals
Our main goal was to design a user-friendly platform that simplifies task management and time tracking, directly addressing the shortcomings of existing confusing tools and manual processes.
Specific Goals:
Enhance Usability: Design a very clear, intuitive, and easy-to-learn interface for all users.
Streamline Financial Admin: Make it significantly easier and more accurate to generate documentation for employee payments based on tracked time.
Improve Organization: Provide a clear system for organizing tasks and tracking time efficiently within teams.
Reduce Admin Time: Decrease the amount of time employees and managers had to spend on administrative tasks related to tasks and time logging.
My Design Process
As the sole Product Designer for Timezz, I took the lead on understanding the problem and shaping the solution from concept to final design.
a) Research:
My process began by gathering insights into user needs and market gaps. I conducted discussions with employees to understand their current workflows and frustrations with existing methods. I also performed an analysis of other time-tracking and task-management products on the market. This research clearly showed that a common issue was overly complex interfaces, confirming the need for a simpler, more intuitive approach for Timezz.b) Planning & Concepts:
Building on the research findings, I moved into defining the platform's structure and generating initial design ideas. I sketched different layout concepts and thought through various user scenarios, specifically considering where users might face difficulties and how to design elegant solutions. I also planned the information architecture to ensure data was logically organized.c) Design & Prototyping:
I translated the concepts into design artifacts using Figma. I started with basic structures (wireframes) to define the core layout and functionality. Then, I created detailed high-fidelity mockups. For key user flows, I built interactive prototypes to simulate the user experience and gather feedback effectively.d) Testing & Refining:
A continuous feedback loop was essential. I regularly shared my designs (mockups and prototypes) with key stakeholders and potential users (employees) to get their direct input. This feedback was crucial for identifying usability issues and making iterative improvements to the designs before they were finalized.
The Solution
The result is the Timezz web platform, designed with a focus on clarity, efficiency, and ease of use. Key features include:
An easy-to-use interface for creating, assigning, and managing tasks.
A simple and accurate time-tracking tool integrated directly with tasks.
Clear dashboards providing managers with a quick overview of project progress and team activity.
Automated report generation for payroll, project costing, and business insights based on tracked time.
A well-organized system for managing task and payment records.
Results & Impact
The introduction of the Timezz platform delivered significant improvements in business operations and efficiency:
Measurable Improvements (Quantitative):
The time required to prepare payroll documentation was reduced by approximately 70%, significantly cutting down administrative overhead.
The streamlined process and clear interface contributed to a decrease in errors related to time tracking and accounting documentation.
The business gained improved control and visibility over how employee time resources were being allocated across projects.
Positive Outcomes (Qualitative):
Employees reported spending less time on the administrative burden of organizing their tasks and manually tracking hours, allowing them to focus more on core work.
(If you received positive comments from users or management about the system's ease of use or benefits, mention them here.)
Goals Achieved: The design successfully helped the company streamline financial administration, improve organizational efficiency, and significantly reduce administrative time spent on task and time management.
Learnings
Working as the sole designer on Timezz provided valuable experience and key takeaways:
Taking Full Ownership: I learned the importance of taking complete responsibility for the product's user experience from initial research through to the final design, ensuring consistency and quality.
Designing for Real-World Efficiency: This project reinforced the value of understanding and designing for tangible improvements in users' daily administrative tasks, which directly translates into business value (like the 70% time saving).
The Power of Simplicity: It highlighted that for tools managing potentially complex data like time and tasks, prioritizing a clear, simple, and intuitive interface is crucial for successful adoption and consistent usage, especially when competing with overly complicated alternatives.
